Software Applications Used by the Society - Information for Members
The management committee (MC) of A1 + A2 CHSL (120 flats) uses several software applications to manage the society in an organised and transparent manner. Their purpose and intended use are outlined below. Members are requested to read this and comply accordingly.
1. Apartment ADDA - accounts, invoicing and official notices
The MC raises quarterly maintenance invoices through ADDA, with collection rules configured as specified in the model bye-laws.
The MC and the society CA use it to reconcile payments and issue receipts. No staff member has access to ADDA.
It is also used for year-on-year reports on invoices and receipts, and to track defaulters.
The society CA separately uses TALLY internally to prepare statements for GST and income tax filing.
Members receive invoices and receipts by email. Many members do not log in to ADDA for years - this is perfectly fine, as long as there are no pending dues.
Members may log in at any time to view the history of maintenance invoices and receipts - useful if you have a query on charges or wish to review past revisions to maintenance rates.
The MC maintains all bank statements and transaction narrations in Google Sheets to provide data to the CA. These are shared openly with all members in the interest of accounting transparency: CLICK HERE
All member-specific notices are always issued on ADDA. A history of notices is visible on login.
2. MYGATE - visitor gatekeeping
Security guards use MyGate to notify flats of arriving guests and visitors, who are admitted only after approval.
Mobile numbers are not visible to other users, but in-app calling is enabled so that guards and staff can reach residents when needed. Please ensure your phone supports this and test it - walk up to any P1 guard and place a test call.
Tenants are registered on MyGate for their flat; in such cases the owner does not have access to that flat on the app.
MyGate therefore holds a register of all residents, and can be used for wider inter-society communication.
Member advisory: do not share personal data, photographs or documents on MyGate, including registered leave-and-licence agreements. The app is ad-supported and we have no visibility into how user profiles are handled by third parties. Ad removal is available only at a higher subscription cost.
MyGate is used at the SOJ and GV main gates. FMS staff also use it to track FMS, housekeeping and security attendance.
3. WhatsApp - informal, resident-driven
WhatsApp groups are not managed by the MC. The MC does not verify the numbers added to these groups.
They are resident-owned and resident-driven. Members who prefer a moderated channel may use MyGate instead.
WhatsApp is convenient for many, but it falls outside the MC's scope of obligation.
All official communication between the MC and members is in writing - by email, on ADDA, or by letter submitted to the society office.
4. Soc-Doc-Loc - statutory document repository
This application is maintained by the management committee.
Flat owners may log in to view the statutory documents and registers maintained by the MC.
It digitises the society's CHS registers, making the annual audit progressively easier.
The DDR-appointed auditor and the society CA have read-only access. Write access rests solely with the MC.
All members are requested to log in and complete their GOLD compliance status on Soc-Doc-Loc.
5. Water App - tank monitoring
The FMS staff and the MC use this application to monitor real-time water levels across the six SOJ water tanks (overhead and underground).
It allows us to operate the WTP and borewell system efficiently, and to review and communicate during periods of water scarcity.
The MC, FMS staff and security supervisors have read-only access - the data is sensor-reported IoT data only.
